CalibrationOS ("we," "our," or "us") respects your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit calibrationos.com or use the CalibrationOS product. CalibrationOS is operated by Cabrillo Club LLC.

Information You Provide

We collect information you voluntarily provide when you:

  • Create a CalibrationOS account
  • Submit forms on our marketing site (email capture, contact, demo requests)
  • Subscribe to our newsletter
  • Contact us by email or support channels

This typically includes:

  • Name, email, phone number
  • Company name and role
  • Details you choose to share about your calibration program

Customer Calibration Data

When you use the CalibrationOS product, the data you record — equipment lists, calibration results, out-of-tolerance investigations, measurement uncertainty budgets, certificates, and related documents — is your data. We store it, back it up, and make it available to you and users you invite. We do not sell it, mine it for our own product marketing, or disclose it outside of the authorized access controls you configure, except as required by law.

Automatically Collected Information

When you visit the marketing site we may automatically collect:

  • Device information (browser type, operating system)
  • IP address and general location data (country / region, not precise location)
  • Pages visited, referring URL, and site interactions
  • Cookie data — see the Cookie Policy for the full inventory

Cookies and Analytics

CalibrationOS uses cookies and similar technologies only to the extent you consent. On first visit we present a consent banner with three options: Accept all, Reject non-essential, and Preferences. Essential cookies are required for the site and the product to function (session, CSRF, load balancing) and are always on. Analytics and marketing cookies are off by default and only fire after consent.

When analytics consent is granted, we use:

  • Google Analytics 4 — aggregate usage measurement. Runs in Google's Consent Mode v2 limited-tracking mode pre-consent, which means no persistent identifier is set until you accept.
  • PostHog (optional, configurable per deployment) — product analytics to understand feature usage.

How We Use Information

  • To provide and operate the CalibrationOS product
  • To authenticate users and secure accounts
  • To respond to inquiries and deliver customer support
  • To send service notifications about calibration due dates and product status
  • To send newsletter emails you have subscribed to (unsubscribe anytime)
  • To measure site usage and improve the product (only with consent)
  • To detect and prevent abuse or unauthorized access
  • To comply with legal obligations

How We Share Information

We do not sell your personal information. We share it only with:

  • Service providers that host or process data on our behalf (cloud infrastructure, email delivery, analytics) under contract, subject to confidentiality and data protection obligations
  • Professional advisors (legal, accounting) when necessary
  • Authorities when required by valid legal process
  • An acquirer in the event of a merger, acquisition, or asset sale — you will be notified and your rights will carry over

Data Retention

We retain customer calibration data for as long as the account is active or as needed to provide the service. After account closure, data is retained for 90 days to allow account recovery and then deleted, except where longer retention is required by law or to resolve disputes. Newsletter subscribers can unsubscribe at any time; email records are removed from active lists within 30 days of request.

Security

We apply commercially reasonable technical and organizational controls — encryption in transit and at rest, access controls, audit logging, routine backups, and periodic security review. No method of transmission over the internet is 100% secure, but we aim for a security posture appropriate to the sensitivity of the data we handle, including ISO/IEC 27001-aligned controls for customer production data.

Your Rights

Depending on where you reside, you may have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Delete your account and associated data
  • Export your data in a portable format
  • Object to or restrict specific processing
  • Withdraw consent for analytics and marketing at any time via the Cookie Policy or the Cookie settings link in the footer

Children

CalibrationOS is a B2B product not directed to children under 13. We do not knowingly collect personal information from children.

International Transfers

CalibrationOS is operated from the United States. If you access the site from outside the US, your information will be transferred to and processed in the US.

Changes to This Policy

We may update this policy from time to time. The "Last updated" date at the top reflects the most recent revision. Material changes will be communicated via email to registered users and via a banner on the site.
